In Chrome on a video call - use the Chrome extension. It captures both your mic and the call
audio.
In the room, on the move - the Android app is the most reliable for long sessions.
Can't attend the call yourself - send the bot.
Already have an audio or video file - drop it into the web app.
Send a meeting bot
Paste a Google Meet, Zoom, Microsoft Teams, or Webex link and RecordX dispatches a participant named
RecordX to the call. The bot records the audio and disappears when the meeting ends or you
cancel it.
How to send one
Open the web app, the Android app, or the Chrome extension.
Open the meeting-bot section and paste the meeting URL.
Press Send bot. The status updates as the bot joins, records, and uploads.
Good to know
Some meetings put new joiners in a lobby - the host has to admit the bot.
The participant list always shows "RecordX" - everyone on the call can see recording is happening.
One minute of bot recording uses one credit, same as a direct recording.
You can cancel the bot any time before the call ends.
Bot recordings are processed by a specialist meeting-bot provider under our data processing agreement. The
provider can't use the audio for anything else. Full details in the
Privacy Policy.
Zoom: auto-import your cloud recordings
If you record Zoom meetings to the cloud, RecordX can download each one automatically as soon as Zoom finishes
processing it. No upload step.
Zoom cloud recording needs a paid Zoom plan (Pro, Business, or Enterprise). On a free Zoom account, send a
meeting bot or use the Chrome extension instead.
However you captured the audio, RecordX gives you the same set of results:
A searchable, timestamped transcript with speaker labels.
A short recap and a longer summary.
Action items, key points, and decisions pulled out automatically.
Export as PDF, Word, or plain text - or share a link.
We delete the audio within 24 hours of upload. Only the transcript stays, and you can wipe that any time from
your history.
Teams and pooled minutes
The Business plan bought for a team is billed per seat and shares one balance. Seats set the size of the pool -
they are not an individual allowance. Three seats is $90 a month and 1,800 minutes, and any one person can use
all 1,800 of them.
How the pool works
Each seat adds 600 minutes a month to a single shared balance.
There is no per-person cap. Every recording draws from the same pool.
The pool refills to its full size at the start of each billing month. Unused pooled minutes do not stack up
month to month - you start each month at the full amount, not more.
When the pool is empty, recordings stop for everyone until an admin adds minutes. Your audio is held for 24
hours, so nothing is lost while you sort it out.
Joining a team
An admin invites you by email, and you accept from Settings › Organization.
If your team uses Microsoft single sign-on, an admin can turn on automatic joining so anyone signing in with
a company account lands in the team without an invite.
You cannot hold a paid personal plan and a team seat at once - cancel the personal subscription first, or you
would be paying twice.
Leaving a team, or being removed, puts you back on the free plan with 60 minutes a month.
What admins can see and control
Admins can open any member's recordings, including transcripts and summaries. This is worth
saying out loud to your team before you invite them.
Admins can invite and remove members, and promote another member to admin.
Admins can switch off share links and data export for members. These are
enforced on our side, not just hidden in the interface. They never apply to admins themselves.
Seats can be added as the team grows. You cannot drop below the number of people already in the team.
Sharing across the team
Recordings. Nothing is shared automatically. Open History, hover a recording, and
tap the people icon to add it to the Team tab that sits next to History for everyone in the
org. Tap it again to remove it. The Team tab only shows up once you belong to a team.
Custom summary templates. In Settings › Templates, open one of your
templates and tap Share with team. Members who do not already have their own template for
that conversation type get it. Personal templates always win over the team one, so no one is forced onto
yours. Use Reshare with team to push a newer version.
Billing
Seats can be billed monthly or annually - annual saves 20%, the same as a personal plan.
Only an admin can start or change the team subscription.
A team cannot be deleted while its subscription is still running - cancel it first.
