The wrong fix she tried first
Every meeting recorder ships with its own bolted-on AI. Chatbot inside their product, their model, their prompt, their retention. So Dana did the obvious thing. She picked one.
Two months in, three problems.
The chatbot was a stranger
The team already lived in ChatGPT and Claude. Nobody wanted a fourth interface to remember when they needed a fact from a meeting.
The context was trapped
Engineers had Claude Code that knew the codebase. Sales ran ChatGPT with company context. Neither could see any of the meetings.
The vendor owned the memory
Every conversation the organization ever had was locked inside a chatbot from a company they might want to leave next year.
Bundling meetings and AI into one product was the mistake. They need to be separate.
What actually worked
The meetings live in RecordX. Everyone's AI stays wherever it was.
Setup took one afternoon. Dana created an organization in RecordX, bought seats, and seeded the company's Microsoft tenant ID. That last part mattered more than she expected: from then on, anyone signing in with a company account lands in the org automatically. No invite emails, no onboarding doc, no chasing.

Then the engineers connected Claude Code to the RecordX MCP server with one command. Now Claude searches the team's meetings the same way it searches the code. It cites the meeting. It quotes the speaker. It points at the minute mark.
Same server, standard protocol. One URL, every client. Each person connects their own AI and signs in with their own RecordX account. The connector is read-only by design: it can search and read, never delete, change, or send.
The meeting recorder should not own your AI. Your AI should not own your meetings.

The product is the memory
Here is the shift that took Dana too long to see.
RecordX is not a meeting recorder that happens to expose an MCP endpoint. It is a continuously growing record of what your organization said, and MCP is how your AI reads it.

What it feels like on day two
"Draft the follow-up email to the vendor call this morning. Include the pricing they quoted and my two concerns." Done in ten seconds. With the actual numbers.
"What did I commit to this week?" A list. Attributed to meetings. Not a guess.
"What did the vendor actually promise on renewal pricing?" The answer is in the March call. Your AI finds it, quotes the exact number, names who said it, and points at the minute mark. The email trail would not have captured this. The call did.
When the whole company remembers
This gets more interesting when you scale it past one person's history.
Sales shares its discovery calls to the team library. A new account manager inherits the customer's whole story instead of a handover doc. And an AI with access to the shared library answers questions no single person can:
"Across every shared call with this customer from the last quarter, what did we commit to, who said it, and when?"
One prompt. The answer comes back with quotes, speakers, and timestamps - pulled from meetings the asker never attended. That is not a meeting-notes tool. That is the operating system for how your team knows what your team knows.
What your security team will ask
The connector is read-only. It authenticates with OAuth 2.1 and PKCE, carries a single read-only scope, and its consent expires after 90 days. It can search and read conversations. It cannot delete, modify, upload, or share anything, and it never sees billing, settings, or other users' private recordings.
Your data goes only where you point your AI. RecordX never pushes your meetings to any AI client - the client you connected pulls what it needs when you ask. What happens after that runs on that vendor's terms, so pick your AI vendor with the same care you picked your recorder. RecordX's own summarization runs on Anthropic models through AWS Bedrock in the EU, under terms that keep your content out of model training.
