RecordX + HubSpot
How it works
HubSpot sync is planned, not live. Today, RecordX does not push transcripts, summaries, or call notes into HubSpot - the two systems don't talk yet. Email us at support@recordx.io and we'll write when the private beta opens; until then paste the RecordX summary link into the matching HubSpot deal or contact by hand.
Get started with RecordX today
- Create your RecordX account at recordx.io/register.html.
- Install the RecordX Chrome extension and connect it to your Zoom, Meet, or Teams meetings.
- Email us at support@recordx.io so you hear the moment HubSpot sync ships, and expect to grant OAuth from HubSpot at that point.
- Meanwhile, record a call - the transcript and summary land in RecordX - and copy the summary URL into a note on the matching HubSpot deal or contact.
Planned use cases
- Attach call summaries to HubSpot contacts and deals automatically.
- Push action items into HubSpot tasks with the right owner.
- Keep every conversation searchable in RecordX and cross-linked to the CRM record.
Planned scope
The design in flight: match a RecordX recording to a HubSpot contact or deal by attendee email domain on the calendar event, then push the summary and action items as a HubSpot engagement on the contact timeline (and the associated deal, when there is one). Transcripts stay in RecordX and are linked by URL - they are not duplicated into HubSpot to keep the CRM clean and to keep audit responsibility in one place.
What will sync (planned)
| Data | RecordX - HubSpot | HubSpot - RecordX |
|---|---|---|
| Summary and action items | Planned: push as engagement on contact/deal | Not planned |
| Transcript | Planned: link only, not the full body | Not planned |
| Contact match | Planned: read HubSpot contacts by attendee email | Not planned |
| Deal association | Planned: engagement follows the contact's owning deal | Not planned |
| Recording audio | Not planned - stays in RecordX | Not planned |
| Meeting audio pulled from HubSpot | Not planned | Not planned |
Planned OAuth scopes
When the app is built, the OAuth grant is expected to request:
crm.objects.contacts.write- to attach summaries as engagements on contacts.crm.objects.deals.write- to attach engagements on associated deals.crm.schemas.contacts.read- to resolve calendar attendee emails to HubSpot contacts.timeline- to write custom timeline entries where the standard engagement doesn't fit.
Nothing is granted today because no RecordX app is installed in HubSpot. The final scope list may differ - the marketplace review is what fixes it.
Pricing and limits (planned)
- HubSpot sync is expected to land in the RecordX Business tier at launch. The free tier will not include it.
- HubSpot's own API rate limits apply per portal - Starter, Pro, and Enterprise buckets differ. Sync batches will be paced to stay under the smallest bucket by default.
- RecordX recording minutes are billed as always - HubSpot sync itself does not consume minutes, only the recording the summary came from.
Common concerns
- HubSpot Sales Hub has native call recording - use that if your team lives entirely in HubSpot and you don't need cross-tool coverage.
- RecordX makes sense when your calls span Zoom, Meet, Teams, Webex, and phone, and you want one searchable library that also lands notes in HubSpot when the sync ships.
- Contact match by email domain works cleanly for one-domain accounts. Multi-domain enterprises will need a manual override on ambiguous matches; that UX is still being designed.
Alternatives while waiting
Fireflies and Otter both offer HubSpot integrations today - reach for one of those if HubSpot sync is a must-have this quarter. If it can wait, use RecordX for the recording and paste the summary URL into the HubSpot deal or contact note by hand. The bookmarklet-style copy from the RecordX summary page is one click, so the manual path is workable while the direct sync is in flight.
